Job Summary

This position is an Administrative Assistant (AA) in Transportation and Hydrogen Systems Center (THSC) within the Vehicle Electrification (VE) Group of the National Renewable Energy Laboratory. The AA will be the primary Administrative POC for a group of individuals (about 25) including a manager and three team leads.

The VE group is comprised of two teams – power electronics and energy storage. The group’s mission is to develop the next generation of electric drive vehicles (EDVs). As manufacturers develop new electric-drive vehicles, NREL acts as a go-to resource in boosting efficiency and troubleshooting deficiencies in energy storage systems and power electronics. We work closely with the U.S. Department of Energy (DOE) and our industry partners to develop battery and power electronic solutions tailored to the realities of the environment, supply chain, manufacturing, and the marketplace. The content of work in the group involves analysis, simulation, modeling and in-lab testing for various DOE and industrial projects and initiatives. The AA supports the development and production of these work products.

The job involves both routine administrative assignments and non-routine or special assignments. Tasks include managing the paperwork flow of the group for travel, purchases, and publications as well as assistance with meetings and workshops, seminars (including room set-up, webinars, catering, audio visual set up (including webinars) and preparation of meeting materials). The AA will also support the development of MS Word documents and MS Excel spreadsheets and other financial documents as needed in support of the various teams. The AA needs to be very comfortable learning and using multiple on-line electronic systems for finance, purchasing, travel, etc. The job involves working with other Administrative staff in the Center as well as throughout the Lab. The AA shall develop and maintain administrative, financial and technical record systems, execute administrative support functions according to management and group needs with minimal supervision and some oversight. The incumbent works routinely with various levels of management which will include the daily support of the group and their associated needs. The AA will also manage some aspects of employee on-boarding including scheduling of interviews, workspace preparation, equipment assignment as well as handling visitor & meeting logistics.

The AA must possess basic project administration skills the ability to prioritize work and be proficient in written and verbal communications. Must possess very good team and interpersonal skills. The AA will have or be able to quickly learn a working knowledge of principles, procedures, and practices related to the specific administrative support area. A high level of proficiency in Excel, Power Point and Microsoft Word is required. Intermediate to advanced skills in computer operation, including the implementation and use of new computer software and communication methods including the coordination of webinars/virtual meetings is required. Must be proficient in analytical techniques and problem-solving practices relating to administrative functions. An ability to plan and host meetings and visitors is necessary.

Required Education, Experience, and Skills

High School Diploma or equivalent and 4 or more years of experience or equivalent relevant education/experience. Or, relevant Associate's Degree or certification program of comparable scope and 2 or more years of experience or equivalent relevant education/experience. Considerable knowledge of specialized focused business support functions. Complete understanding of the general and detailed aspects of the business support activities, and their practical applications to problems and situations ordinarily encountered. Experienced skills in applicable software packages and office equipment. Demonstrated project administration skills. Full knowledge of specific principles, procedures and practices related to supported fields and disciplines. Strong written and verbal communication skills, team and interpersonal skills.
