Responsibilities
  • Serves as the central point of contact to identify and coordinate the requirements of the Prosthetic and Sensory Aids Service (PSAS) in tandem with the requirements of other services.
  • Operate a variety of standard office equipment to include multi-line telephone with voicemail, hands-free headset, multi-function copier (copy/fax/scan), desktop computer with Microsoft operating systems, and various specialized software.
  • Greet all visitors to the Prosthetics Department.
  • Screen telephone calls to determine appropriate action, respond to requests for information, resolve issues, and provide assistance or direct to the appropriate personnel for action concerning requirements for requesting Prosthetic supplies/services, order status, and general information.
  • Coordinates daily delivery and pick-up of mail/courier envelopes.
  • Receive and distribute in-coming mail to appropriate personnel for documentation in computerized patient records and/or reconciliation of government purchase card charges.
  • Prepare packages for mail-out ensuring delivery through tracking notification as necessary.
  • Receive Prosthetic items ordered via purchase order for documentation in Veterans health record and delivery to requesting clinician for coordination of follow-up appointment or Veteran's address of record as defined by the originating consult.
  • Monitors consult view alerts to coordinate appropriate initial action of other-than-routine prosthetic consults and consult addendums/comments for appropriate follow-up action and fax machine for verification of out-going faxes and distribution of in-coming faxes to appropriate staff.
  • Generate a variety of reports and correspondence via organization specific software as directed by the Supervisory Prosthetic Representative
  • Examines incoming procurement requests for completeness.
  • Records minutes of all Prosthetic specific committees and meetings; coordinate schedules, agendas, and approval of meeting minutes for permanent record.
  • Submit help desk tickets, work orders, and office supply/equipment requests as required on behalf of the service; perform tertiary timekeeper duties in the absence of primary and secondary timekeepers.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/21/2019.

To meet the minimum qualifications for this position, you must meet one of the following: One (1) full year of specialized experience equivalent to the GS-4 level in the Federal service that equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of this position. Specialized experience includes: Administration duties, operating a variety of standard office equipment, Customer Service - greeting visitors, screening phone calls, responding to requests, coordinating deliveries and distribution of deliveries, purchasing experience, generating reports.

NOTE: Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. OR Has successfully completed four (4) years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. NOTE: Transcripts must be submitted with application. Education cannot be credited without documentation. OR Possess equivalent combinations of successfully completed post-high school education and specialized experience may be used to meet total experience requirements. NOTE: If using education combined with specialized experience to qualify, a copy of your transcript is required.

Time-In-Grade Requirement: Advancement to positions up to GS-05. Candidates may be advanced without time restriction to positions up to GS-05 if the position to be filled is no more than two grades above the lowest grade the employee held within the preceding 52 weeks under his or her latest non-temporary competitive appointment.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note:A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements:The work requires some physical exertion. There may be recurring lifting and moving of moderately heavy or bulky items such as wheelchairs or other durable medical equipment. Repetitive bending over and twisting will be required. Most work will be completed sitting in an office chair at a workstation.
